Terms of Service
Version 3
Effective October 21, 2026
About these terms
danceOS is software for running social dances: check-in, payments, waivers and codes of conduct, memberships, and staff. It is made by 7th Planet LLC ("danceOS," "we," "us").
These terms cover the danceOS website and every part of the service, including each organization's danceOS site. By setting up an account, signing in, or using danceOS, you agree to them. Our Privacy Policy explains what we do with your information.
Who does what
Three parties meet on danceOS, and it helps to keep them straight:
- Organizations run dances. They set prices, write their own waivers and codes of conduct, decide who gets in, take payment, and run their door. An organization's staff use danceOS on its behalf.
- Dancers attend those dances. A dancer's relationship is with each organization they dance with.
- danceOS provides the software. We don't organize, host, or supervise any event. We are not a party to the arrangement between a dancer and an organization.
Questions about a dance, its price, its policies, or who was let in go to the organization that runs it.
Your account
- You must be at least 13 years old to have an account. If you are under 18, or under the age of majority where you live, you confirm that a parent or guardian has agreed to these terms for you.
- Give accurate information, and keep your email address current, because signing in depends on it.
- Your account is for you alone. Keep access to your email secure, since anyone who can read it can use a sign-in link. If you use a password, keep it private.
- You are responsible for what happens under your account. Tell us at hello@danceos.io if you think someone else has used it.
Organizations
If you set up or manage an organization on danceOS, you also agree that:
- You have the authority to act for the organization, and it is bound by these terms.
- The organization is responsible for its staff's use of danceOS and for what it publishes through it, including prices, event details, waivers, and codes of conduct.
- danceOS does not review, draft, or approve your waivers or other agreements, and makes no promise about their legal effect. Whether a waiver is enforceable, and what it should say, is for you and your own advisers.
- You will follow the laws that apply to your events, your payments and any fees you add to them, your taxes, the people who work your nights, and the personal information you hold about your dancers. That includes having the right to add anyone you import or invite.
- You are responsible for the email your organization sends through danceOS, and for having permission to send it.
- You will not add anyone under 13 to danceOS. If you admit children to your dances, getting any consent your waiver or the law requires from a parent or guardian is up to you.
- To take card payments you must connect a Stripe account and accept Stripe's own terms. Card payments go straight to your Stripe account. You are the seller, and chargebacks, disputes, and refunds on those payments are yours to handle.
- If you run a kiosk, the check-in tablet by your desk, you are responsible for the device and where it is kept.
- The records your organization keeps about its dancers, such as check-ins, payments, and memberships, belong to your organization, and we hold them on your behalf. A dancer's danceOS account is not part of those records: it belongs to the dancer and danceOS, and it continues if your organization leaves. Our Privacy Policy explains both.
Dancers
- Each organization you dance with sets its own prices, policies, and agreements, such as its waiver and code of conduct. When you accept one of an organization's agreements in danceOS, you're agreeing with the organization, not with danceOS.
- If you link a check-in partner, either of you can check you both in and pay for both. Each of you accepts the organization's agreements yourself, and each of you gets your own price, such as a member or student price. Either of you can unlink at any time.
- An organization decides who it admits, and it may refuse or remove anyone under its own policies.
- The records an organization keeps about you, such as your check-ins, payments, and memberships, are the organization's records. Your danceOS account is yours, and you keep it whichever organizations you dance with.
Payments, refunds, and cancellations
danceOS fees. danceOS may charge organizations for the service. Before we charge an organization, we tell it the price and how cancellations and refunds work. We charge nothing without its consent. An organization can leave danceOS at any time by emailing hello@danceos.io.
Prices and fees at a dance. Organizations set their own prices; danceOS does not. An organization may add a service fee to help cover the costs of running its dances. The fee goes to the organization, not to danceOS. danceOS shows any fee in your total before you pay. The fee is non-refundable unless the organization chooses to refund it.
Payments at a dance. When you pay for a dance, for yourself or your check-in partner, you are paying the organization, not danceOS. The organization is the seller and decides its own refund and cancellation policy, including what happens when a dance is cancelled.
- To ask for a refund, contact the organization. danceOS cannot issue refunds on an organization's behalf.
- Stripe processes card payments and pays them directly to the organization. danceOS takes no share of them.
- Cash, Venmo, Zelle, PayPal, and other payments made outside danceOS go straight to the organization. danceOS only records that they happened.
- A card dispute or chargeback is between you, your card issuer, and the organization.
Acceptable use
Don't use danceOS to:
- break the law or anyone else's rights;
- harass, threaten, or harm anyone;
- use a profile photo of another real person, or one that is sexual, violent, or hateful;
- set up an account or check in as someone else, check anyone else in without their consent, or add people without their knowledge for purposes unrelated to your dances;
- send spam or messages people haven't asked for;
- access accounts, organizations, or data you aren't allowed to see, or test, probe, or get around our security;
- interfere with the service, overload it, or collect data from it with automated tools;
- copy, resell, or rebuild danceOS.
Your content
You keep ownership of what you put into danceOS: your profile, an organization's event details, agreements, and records. You give us permission to store, copy, display, and process it as needed to run danceOS for you and the people you share it with, and to keep it safe. For organizations, that includes showing your public information, such as your name and your dances' dates, places, and prices, where danceOS lists dances.
If you send us feedback or ideas, we may use them without owing you anything.
Our service
danceOS, its software, design, and name belong to 7th Planet LLC. These terms let you use danceOS; they don't give you any other rights in it.
danceOS is in early access. We are adding, changing, and sometimes removing features, and we may change or stop parts of the service. We work to keep danceOS running, especially on dance nights, but we don't promise it will always be available or free of errors. Keep another way to run your door in case danceOS is unavailable.
danceOS relies on other companies' services, including Stripe for payments. Their terms apply to your use of them, and we aren't responsible for them.
Banning and deleting accounts
We may remove a profile photo, turn off photo uploads, ban an account, or remove an organization, if it breaks these terms, puts others at risk, or exposes danceOS to legal harm. Where it's reasonable, we'll tell you first and give you a chance to fix the problem.
You can stop using danceOS at any time. To delete your account, email hello@danceos.io. Deleting your account removes your name and contact details but doesn't erase the attendance and payment history organizations hold, as our Privacy Policy explains. If we've banned your account, we may keep its details for as long as we need them to enforce the ban.
The parts of these terms that by their nature should last, including ownership, disclaimers, limits of liability, and the governing law, keep applying after an account is deleted or banned.
Disclaimers
danceOS is provided "as is" and "as available." To the extent the law allows, we disclaim all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.
danceOS does not give legal, tax, or financial advice. We are not responsible for any dance, venue, or event, for what happens at one, or for how an organization or dancer behaves.
Limits on liability
To the extent the law allows:
- danceOS is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data, arising from or related to danceOS.
- danceOS's total liability for any claim arising from or related to danceOS is limited to the greater of the amount you paid danceOS in the 12 months before the claim, or $100.
Some places don't allow these limits, so they may not all apply to you.
Indemnity
If you use danceOS for an organization, the organization will defend and hold harmless 7th Planet LLC from claims arising from its events, its content, its payments, or its breach of these terms or the law, and will cover the resulting losses and reasonable costs.
Governing law and disputes
These terms are governed by the laws of the State of Georgia, without regard to its conflict-of-laws rules. Any dispute will be resolved in the state or federal courts located in Georgia, and you and we agree to those courts' jurisdiction. Either of us may bring a claim in small claims court instead.
Nothing in these terms takes away rights you have under the consumer protection laws of where you live that can't be given up by agreement.
Changes to these terms
When we change these terms, we publish the new version here with its version number and effective date. We also email every account holder to say it has changed. A new version takes effect when we publish it. If you keep using danceOS after that, you are agreeing to the new version. If you don't agree, stop using danceOS and ask us to delete your account.
General
These terms, with our Privacy Policy, are the whole agreement between you and danceOS about the service. If any part of them can't be enforced, the rest still applies. If we don't enforce a part of them, we haven't given up the right to later. You may not transfer your rights under these terms without our consent; we may transfer ours to a company that takes over danceOS.
