About this policy

danceOS is software for running social dances, made by 7th Planet LLC ("danceOS," "we," "us"). This policy explains what information danceOS holds about you, where it comes from, what we do with it, who sees it, and the choices you have. It covers the danceOS website, each organization's danceOS site, and the emails we send.

danceOS holds information in two roles:

  • For ourselves, about your danceOS account: your email, your name and profile, and which organizations you belong to, along with your use of our website. Your account belongs to you and to danceOS, not to any organization. It continues if an organization leaves danceOS. We decide how we use this information.
  • For organizations, about what happens at their dances: check-ins, payments, memberships, and agreements. Each organization decides what it collects and how it uses it. We hold that information on its behalf. If you have a question about what an organization does with your information, ask the organization. We'll help it answer.

What we collect

Your account. Your email address, your name, and your profile photo if you add one. If you choose a password, we store it in a scrambled form we can't read. If you link a check-in partner, we keep the link until either of you removes it. If we ask whether you want email from danceOS, we keep each answer you give, with the wording you saw and when you gave it.

Your records with an organization. When you join or dance with an organization, it holds:

  • your name, contact email, and profile photo;
  • how and when you joined;
  • your answers when you join, such as whether you're a student or would like to volunteer;
  • your check-ins: which night, which admission, the price, how you paid, and when you checked in;
  • whether your check-in partner checked you in or paid for you;
  • your memberships and when they expire;
  • whether the organization lets you in free;
  • any staff roles you hold, the nights you're assigned to work, and any availability you give it;
  • which version of each of the organization's agreements, such as its waiver and code of conduct, you accepted, and when;
  • payments and refunds, including which staff member recorded or refunded them.

An organization may also bring over records it already keeps about you, such as your name, email, membership, staff roles, or whether you get in free. They aren't connected to you until you sign in to danceOS with that email address.

At a kiosk. If you join at an organization's kiosk, the check-in tablet by its desk, you type your name and email there instead of on your own phone. We then email you a link to confirm the address.

Payments. Stripe handles card payments. We never see or store your full card number. We receive only the payment's amount, status, and Stripe's reference to it. Stripe handles your card details under its own privacy policy. For payments made outside danceOS, such as cash, Venmo, Zelle, or PayPal, we only record that they happened.

Feedback. Answers and notes you give when danceOS asks how something went.

Photo reports. If you report someone's profile photo, we keep your report and reason until we've reviewed it. The person you reported doesn't see who reported them.

Email. Whether the emails we send were delivered, bounced, or marked as spam, and any email you send to us.

Technical information. Like most websites, our hosting records the requests your browser makes, including your IP address, browser type, and the pages you visit. We also keep error logs to find and fix problems. We use Vercel Analytics and Speed Insights to count page views and measure how fast pages load. They don't use cookies and don't track you across other sites.

Cookies. We use cookies to keep you signed in and to remember a few preferences, such as list filters and banners you've dismissed. We don't use advertising cookies or cross-site tracking.

How we use your information

  • To run danceOS: signing you in, confirming your email address, checking you in, connecting records an organization brought over to you when you join, taking payments, and showing organizations and their staff what they need to run their dances.
  • To send email you need about your account, your dances, your payments, and the nights you work, such as sign-in links, receipts, membership reminders, and changes to an organization's agreements or to our policies.
  • If you say yes, to email you about new danceOS features. You can change your answer anytime in account settings.
  • To answer your questions and give support.
  • To keep danceOS secure, and to prevent fraud and abuse.
  • To understand how danceOS is used and make it better. We use an organization's records only to provide danceOS to it, or in combined form that doesn't identify anyone.
  • To meet our legal obligations.

We don't sell your information, rent it, or share it for advertising.

Who sees your information

  • The organizations you dance with. Each one, and its staff, see your records with that organization. An organization can't see your records with another organization.
  • Your check-in partner, if you link one: your name, and, when they check you in, the prices you'd pay that night, which can show whether you're a member or get student pricing.
  • Anyone at an organization's kiosk can search its dancers by name. The kiosk shows names, and never a full email address.
  • danceOS staff, when needed to run danceOS, give support, or keep it secure. When we open an organization's records to give it support, we record when we opened and left them.
  • Our service providers, who run parts of danceOS for us and may use your information only to do that: Supabase (database and sign-in), Vercel (hosting and analytics), Stripe (card payments), Resend (emails danceOS sends, such as sign-in links and receipts), and Google (email you send us, and our replies).
  • When the law requires it, or to protect the safety, rights, or property of anyone, including danceOS.
  • A company that takes over danceOS, if that ever happens, under the protections of this policy.

Where your information is stored

danceOS's information is stored and processed in the United States. If you live in Canada, your information is moved to the United States, where it is protected by this policy but can be accessed by courts, law enforcement, and national security authorities under United States law.

How long we keep your information

  • Your account stays until you ask us to delete it.
  • An organization's records, including its history of changes its staff made, stay while the organization uses danceOS. Attendance and payment history are an organization's financial records, so they remain even if a dancer deletes their account.
  • Records an organization brings over for someone who hasn't signed in yet stay with that organization until it removes them or leaves danceOS.
  • Error and request logs: we keep them for up to 90 days, then delete them.
  • Undeliverable addresses. If email to your address bounces or is marked as spam, we keep the address on a do-not-send list, even after we delete your account.
  • When an organization leaves danceOS, we remove the names and contact details from its records within 90 days, unless the law requires us to keep them longer. Your danceOS account, and your records with other organizations, stay as they are.

Your choices

You can ask to see the information we hold about you, correct it, or delete it. Email hello@danceos.io and we'll respond within 30 days. We honor these requests wherever you live.

  • In account settings, you can change your name, photo, email address, check-in partner, and whether you get email from danceOS about new features.

  • If you ask us to delete your account, we remove your name, contact details, and photo from it and from every organization's records. You can no longer sign in. Those organizations keep their history of your check-ins and payments, shown as "Deleted account." You can set up a new account later with the same address.

    Three things stay after we delete your account:

    • notes an organization's staff wrote that mention you, which you can ask the organization to remove;
    • error and request logs, which we delete within 90 days;
    • your address on our do-not-send list, if email to it bounced or was marked as spam.

    If you're the only admin of an organization, we'll ask you to make someone else an admin first. If we've banned your account under our Terms, we may keep its details for as long as we need them to enforce the ban.

  • For records an organization holds about you, you can also ask the organization directly.

  • You can't turn off sign-in links or receipts, but you can ask an organization to stop sending you membership reminders.

If you live in Canada and aren't satisfied with how we've handled your request, you can complain to the Office of the Privacy Commissioner of Canada.

Children

danceOS isn't meant for children under 13, and you must be 13 or older to have an account. If you're under 18, a parent or guardian must agree before you use danceOS. We don't knowingly collect information from children under 13. If we learn that we have, we'll delete it. If you think a child under 13 is on danceOS, tell us at hello@danceos.io.

Security

We protect your information with encrypted connections, access controls, and a design that keeps each organization's records separate from every other's. No system is perfectly secure. If a breach affects your information, we'll tell you as the law requires.

Changes to this policy

When we change this policy, we publish the new version here with its version number and effective date. We also email every account holder to say it has changed. A new version takes effect when we publish it.
